A Decade of Evolution: IACC’s 2025 “Meeting Room of the Future” Report Reveals Emerging Event Trends

The International Association of Conference Centres (IACC) has marked a significant milestone with its 2025 Meeting Room of the Future report, celebrating a decade of groundbreaking industry insights. Based on survey responses from 205 meeting planners across Europe and North America, the report highlights how venue preferences, event design, and technology integration continue to evolve.

Notably, experiential venues—such as museums, vineyards, and sports stadiums—now host 51% of meetings, a sharp increase from 33% in 2023. Planners emphasise immersive experiences that blend creativity and interactivity, with Sebastian Tarkowski of Faerudd Konferens noting that “meetings that incorporate interactive, engaging environments […] can be powerful catalysts for creativity and innovation”.

On the tech front, enthusiasm for hybrid setups has cooled. Only 42% of planners intend to use streaming, and fewer see new technologies as essential compared to last year. Yet, interest in AI is rising—now at 14%, up from just 4% in 2023. Meanwhile, fundamental venue factors—location, access, flexible space, and sustainability—remain top priorities, with food and beverage experiences climbing in importance.

IACC CEO Mark Cooper emphasises that the report shows a shift toward experience-led design, sustainable practices, and adaptable spaces, reflecting changing attendee expectations and demographic shifts. For modern event organisers, these findings offer clear guidance on evolving venue and tech investments.
